Teams: buy access, invite people and share maps

Team access lets colleagues use their own logins to work with shared maps and uploads. Choose up to 5 or up to 10 people, including the owner. Pay first, then name the team and invite people. Already have paid access? Use Upgrade access instead of buying it again.

  1. Buy team access for a new map

Open the map you want and choose Buy 12 months’ access (Unlock on a small screen). In the normal payment box, change How many people? from 1 person to Up to 5 people or Up to 10 people. The price updates for your selection. Check the map, currency, total and any VAT before choosing a payment method. You do not need to name a team, invite colleagues or sign in before starting a new team purchase.

  2. Pay, then set up your team

Choose Pay by card, Pay with PayPal or Bank transfer where offered. Card and PayPal use the usual payment gateways; the map remains in its original tab. Bank transfer gives you payment instructions and a reference; access begins after the payment is confirmed. Complete payment, then follow the receipt or next-steps link to sign in and set up your team. Use the purchaser’s email address. Team naming and invitations happen after payment, not before. If you need to set your first password, use the normal sign-in help.

  3. Name your team

Open My team. As the owner, enter a useful Team name and choose Save team name. The owner already occupies one place. A five-person team therefore has room for the owner and four colleagues. Pending invitations also reserve places. You can come back later to finish setup.

  4. Invite colleagues

Under Invite someone, enter the colleague’s own email address and choose Send invitation. Any email domain is welcome. Each person uses their own login; do not share a password. An invitation appears as Invitation pending until accepted. Use Resend if needed, or Cancel to withdraw a pending invitation and free its place. Check the address before resending.

  5. Accept an invitation

Open the invitation link sent to your own email address. If you already have a GBMaps account, choose Sign in and join team using that account. Otherwise choose your password and Join team. Your existing personal maps remain separate. If the link cannot be used, ask the team owner to check the invitation in My team and send it again.

  6. Use shared maps or your personal maps

In My team choose Open shared maps to see the team’s library, or Create a map for a new team map. Check the workspace label: Team maps followed by its name means you are working with that team. Switch to personal maps returns to your own work; save changes when prompted. Team members share the team’s maps and uploads. Your other personal maps are not automatically shared by joining. When converting your own licence to a team, check the upgrade’s sharing note: existing maps and uploads covered by that conversion move to the team.

  7. When a colleague is editing

If the tool says a colleague is editing the shared map, follow the on-screen choices to view it or work on another map. Coordinate with that colleague before editing the same work. Save your changes before changing workspace or leaving a map.

  8. Manage places, renew or upgrade

The owner manages members and invitations in My team. Remove ends a colleague’s membership; their shared work remains with the team. For more places or a different map, choose Upgrade team or map type. For renewal, open Renew or change team size and then Open team purchase options. Check the quoted price, date and chosen size. Renewal reminders go to the owner; there is no automatic renewal. Members should ask their owner to handle purchases.
